Privacy Notice
Alliance Technical Support Services Limited
At Alliance Technical Support Services Limited we are committed to protecting your personal data and privacy. This notice explains what personal data we collect about you, where it comes from, why and how we use it, who we share it with, how long we keep it, and the rights you have. It applies to anyone we deal with: people who visit our website, people who contact us, our customers and prospective customers and their staff, and our suppliers.
We are a provider of IT support, consultancy, application development and hardware to businesses. Much of the personal data we come into contact with belongs to our customers and their own contacts, and we handle it on our customers' instructions. The section “When we work on behalf of our customers” explains how that is different from the data we hold for ourselves.
Who we are and how to contact us
Alliance Technical Support Services Limited is a company registered in England and Wales with company number 04385042. Our registered office is at Beechwood, Station Road, Brandon, Warwickshire, CV8 3HR. We are registered with the Information Commissioner's Office (ICO) under registration number Z1822716.
For the personal data described in this notice we are the controller. We are not required to appoint a Data Protection Officer, but our director Laura Shakespeare is responsible for data protection. You can contact her, or raise any question about this notice, by email to sales@alliance.uk.net or by post to the address above.
When we work on behalf of our customers
When we support a customer's IT systems, develop or support an application for them, or administer their Microsoft 365 or other services, we have access to the personal data held in those systems. That data belongs to our customer. Our customer is the controller of it and decides why and how it is used. We act as a processor, on the customer's written instructions and under the data processing terms in our IT Services Agreement with them. If you are an employee, customer or contact of one of our customers and want to know how your data is handled in their systems, please refer to that customer's own privacy notice.
This notice covers the personal data that we hold for our own purposes as a controller, which is described below.
The information we collect and where it comes from
Depending on how you deal with us, we may hold the following information about you:
- Identity and contact details: your name, job title, employer, business address, email address and telephone numbers.
- Account and transaction details: the services and products you or your employer have bought from us, quotations, orders, invoices, payment records and bank details used to pay us. We do not take card payments and do not hold payment card details.
- Correspondence and support records: emails, letters, notes of calls and meetings, and records of support requests and how they were resolved, which may include your name and the content of your request.
- Contract and compliance records: signed agreements, authorised contacts, and the records we are required to keep as a limited company.
- Technical information: when you use our website, your browser type, device type, the country you are visiting from, the pages you visit and how you reached us, collected by our cookieless analytics tool as described in the Cookies and analytics section. Your IP address is used transiently to work out your country and is not stored.
Most of this information comes directly from you, when you contact us, place an order or use our website. Some of it comes from other sources:
- your employer or the organisation you work for, when they are our customer and give us your details as a contact or user;
- publicly available sources such as Companies House and your organisation's website;
- our suppliers and vendors, for example a courier confirming delivery or a software vendor confirming a licence registration.
How we use your information and why we are allowed to
Data protection law requires us to have a lawful basis for each use of your personal data. The table below sets out what we do and the basis we rely on.
| What we use it for | Information we use | Lawful basis |
|---|---|---|
| Providing quotations, taking and fulfilling orders, delivering our services and dealing with support requests | Identity and contact details; account and transaction details; correspondence and support records | Performance of a contract with you or, where you act for your employer, our legitimate interest in performing our contract with them |
| Invoicing, collecting payment, keeping accounts and meeting our tax and company law obligations | Identity and contact details; account and transaction details | Legal obligation (Companies Act 2006 and HMRC record-keeping rules) and performance of a contract |
| Answering your questions and managing our relationship with you or your organisation | Identity and contact details; correspondence | Legitimate interest in running our business and responding to the people we deal with |
| Telling you about changes to our services, policies or terms, or about security matters affecting services we provide to you | Identity and contact details | Performance of a contract and legitimate interest in keeping our customers informed |
| Keeping our own systems and records secure, preventing fraud and investigating security incidents | Identity and contact details; technical information; correspondence | Legitimate interest in protecting our business, our customers and their data |
| Establishing, exercising or defending legal claims, and dealing with complaints and disputes | All categories as relevant | Legitimate interest and, where relevant, legal obligation |
| Understanding how our website is used so that we can improve it, using Cloudflare Web Analytics | Aggregated technical information collected without cookies; your IP address is processed transiently to derive your country and is not stored | Legitimate interest in understanding how our website is used. You can object at any time by switching analytics off in the cookie settings on our website |
| Selling, transferring or reorganising our business | All categories as relevant | Legitimate interest in running and developing our business |
Where we rely on legitimate interests, we have considered the effect on you and are satisfied that our interests are not overridden by your rights. You can ask us for more information about that assessment, and you have the right to object (see “Your rights”).
We do not use your personal data to make automated decisions about you, and we do not carry out profiling.
Marketing
We do not currently send direct marketing by post, email, telephone or text. If we decide to start, we will only send marketing to you where the law allows, we will give you a clear way to opt out in every message, and we will update this notice. You can tell us at any time that you do not want to receive marketing from us by emailing sales@alliance.uk.net.
Who we share your information with
We will never sell or rent your personal data, and we will not share it with any third party for their own marketing. We share it only as follows:
- Service providers who process data on our behalf. We use Microsoft 365 for our email, documents and business systems, Xero for our accounting and invoicing, and Cloudflare for privacy-focused, cookieless analytics on our website. These providers act on our instructions under contracts that require them to protect your data. Where you place an order with us, we may pass your name and delivery address to a courier, or your name and organisation to a hardware or software vendor to register a product or licence, disclosing only what is needed.
- Our professional advisers: our accountants, who access our records through Xero, and where necessary our insurers, solicitors and bankers.
- Public authorities: HM Revenue & Customs, Companies House, the ICO, courts and law enforcement, where we are required to disclose information by law or in connection with legal proceedings.
- A buyer or successor of all or part of our business, if we sell, transfer or reorganise it. We will make sure your data continues to be protected in the same way.
Transfers outside the United Kingdom
We are based in the United Kingdom and aim to keep your personal data here. Microsoft stores our Microsoft 365 data in the UK, but limited data may be processed in other regions under Microsoft's data protection terms. Xero's servers are located outside the UK. Cloudflare operates a global network and may process website traffic data outside the UK, including in the United States. Where personal data leaves the UK, we rely on one of the safeguards permitted by UK data protection law: the destination country having been found by the UK Government to provide adequate protection, or a contract with the recipient incorporating the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. You can ask us for more information about these safeguards.
How long we keep your information
We keep personal data only for as long as we need it for the purposes above, and then delete or anonymise it. In general:
- customer and contact records are kept for the duration of our relationship and for six years after the end of the contract, or after our last contact with you if no contract was entered into, so that we can deal with any questions or claims that arise;
- accounting records, including invoices and payment records, are kept for six years after the end of the financial year to which they relate, as required by law;
- records of support requests are kept for the same period as the customer record they relate to;
- Cloudflare Web Analytics holds only aggregated statistics and does not retain data that identifies you.
How we protect your information
We take appropriate technical and organisational measures to protect your personal data against loss, misuse, unauthorised access and alteration. These include access controls and multi-factor authentication on our systems, encryption of our devices, security software, regular updates, staff training and documented security policies that we review regularly. Information sent to us by email travels over the internet and, like all email, cannot be guaranteed to be completely secure in transit. Once we receive it, it is protected by the measures described above.
Your rights
Under UK data protection law you have the following rights in relation to the personal data we hold about you as a controller:
- Access: to be told whether we hold personal data about you and to receive a copy of it.
- Rectification: to have inaccurate or incomplete data corrected.
- Erasure: to have your data deleted in certain circumstances, for example where we no longer need it. We may need to keep some data to meet legal obligations, such as accounting records, and we will tell you if so.
- Restriction: to ask us to limit how we use your data in certain circumstances, for example while a dispute about its accuracy is resolved.
- Portability: to receive the data you have given us in a structured, commonly used, machine-readable format, where we process it by automated means on the basis of your consent or a contract.
- Objection: to object to processing based on our legitimate interests, and to object at any time to direct marketing.
- Withdrawal of consent: where we rely on your consent, to withdraw it at any time without affecting the lawfulness of processing before withdrawal.
To exercise any of these rights, email sales@alliance.uk.net or write to us at the address above. We will respond within one month of receiving your request. We may extend this by up to two further months if the request is complex, and we will tell you if so. We may need to confirm your identity before acting on a request. We do not charge for dealing with requests unless they are manifestly unfounded or excessive.
Complaints
If you are unhappy with how we have handled your personal data, please contact us first using the details above and we will do our best to resolve the matter. You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection: online at ico.org.uk/make-a-complaint, by telephone on 0303 123 1113, or by post to Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.
Cookies and analytics
Our website at www.alliance.uk.net uses a small amount of storage on your device and one cookieless analytics tool. We use the following:
- Essential storage, which is needed for the website to work and to remember the cookie and analytics choices you have made so that we do not keep asking you. This does not require your consent.
- Cloudflare Web Analytics, which measures website traffic without using cookies and without storing any identifier for you. It records page views, the site you came from, your browser type and the country you are visiting from, which is derived from your IP address and recorded only at country level. It does not track you across other websites. Because it sets no cookies and does not identify you, it runs without asking for your consent. If you would prefer that we did not measure your visit, you can switch analytics off at any time using the cookie settings link on the website, and we will respect that choice on future visits.
We do not use advertising, marketing or social-media tracking cookies. You can also control cookies and site storage through your browser settings; blocking essential storage may mean the website asks about your preferences on each visit.
Links to other websites
Our website may contain links to other websites. We are not responsible for the privacy practices or content of those sites, and this notice does not apply to them. Please read their privacy notices before providing any personal data.
Children
Our website and services are aimed at businesses and are not directed at children. We do not knowingly collect personal data from anyone under the age of 13. If you believe we have done so, please contact us and we will delete it.
Changes to this notice
We keep this notice under review and will publish any changes on our website. This version was published on 12 October 2026 and replaces the version dated April 2018. If the changes are significant, we will tell our customers directly.
If you have any questions about this notice or how we handle your personal data, please contact us at sales@alliance.uk.net.
